Why we run KYB
UK Cream Chargers Limited (Companies House 0820454), trading as Bulk Cream Chargers, is a wholesale supplier of food-grade culinary nitrous oxide. We are required by UK law to take “reasonable steps to verify legitimate use” before supplying any commercial buyer (Home Office Circular 006/2023). Our Know Your Business (KYB) process is how we satisfy that obligation.
KYB also protects buyers: a robust procurement chain means documentation, batch traceability, and product provenance are intact when your auditors or insurers ask for them.
What we check
| Step | Evidence we request | Why |
|---|---|---|
| Company identity | Registered company name, Companies House (UK) or equivalent registry number, registered office, trading address | Confirm the entity is real and trading |
| Buyer authority | Name, role, business email, phone of the procurement contact | Confirm the contact has authority to enter into supply |
| Intended use | Commercial foodservice, resale, distribution, or private-label use | Confirm legitimate culinary or commercial application |
| Volume | Pallet count or container intent, monthly or annual pattern | Confirm scale fits a commercial operation |
| Destination | Delivery country, postcode, receiving site, importer details where applicable | Confirm legal supply route to the destination |
| Documentation needs | Certificates of Analysis, Safety Data Sheets, food-grade certification, language requirements | Confirm we can fulfil the buyer’s procurement standard |
| Payment standing | Company invoice details, payment timing (proforma + balance) | Confirm a clean transaction route |
| Public footprint | Website, menu, trade listing, distributor profile | Cross-check the business is operationally active |
| Prior history | Existing record with BCC (if any) | Continuity check for repeat buyers |
For new buyers we may also request a recent utility bill or bank statement at the trading address, or a brief letter from your accountant or solicitor confirming you are a trading entity.
Outcomes
Every enquiry receives one of these outcomes within 2 business days:
- Approve — qualification accepted, quote issued
- Hold for further information — we request one or more of the items above
- Refer for legal review — your destination or order pattern requires solicitor sign-off (typical for new international jurisdictions)
- Decline — the application does not meet our criteria (see Right to Refuse Service)
We are not obliged to disclose the full reasons for a decline where doing so would compromise commercial interests or compliance integrity.
How we use the data
KYB documentation is retained as required by UK record-keeping law (typically 6 years for commercial customer records). It is shared only with our regulated partners (banking, freight, accounting, legal) and with UK authorities where lawfully required. We do not sell or share KYB data with marketing platforms.
Full details: see our Privacy Policy.
What’s reasonable
We try to keep KYB proportionate. A first-time pallet enquiry from a UK foodservice operator with a verifiable Companies House record and clear public footprint typically clears KYB on the basic documents alone. International container orders or new jurisdictions naturally warrant deeper checks — that’s a feature of legitimate wholesale, not a bureaucratic obstacle.
Confidentiality
All KYB documentation is treated as confidential. It is reviewed only by authorised staff and is not shared with third parties except where required by law or where you have given specific permission.
